Step 1: Create Your Blank Sheet

Open Google Sheets and create a blank spreadsheet. Rename it immediately to something memorable like "AllChinaBuy Tracker 2026" so you can find it fast. This is your master document — every haul you ever place goes in here.

Step 2: Build Your Column Structure

In cell A1, type "Item Name." Then across row 1, fill in these exact headers: Item Name, Category, Agent Link, Size, Color, Unit Price (CNY), Domestic Shipping (CNY), International Shipping (USD), Total Cost (USD), Order Status, QC Photos, Notes.

Select row 1, bold it, and freeze it (View → Freeze → 1 row). This keeps your headers visible when you scroll through hundreds of items.

Step 3: Add Your First Real Item

Find an item you actually want to buy. Paste the agent link into column C. Type the item name in column A. Fill in size and color. Leave all price columns blank for now — you will update those after checkout.

Set the Order Status to "Wishlist." This creates a clear pipeline: Wishlist → Paid → Shipped → Arrived → Listed → Sold.

Step 4: Add the Magic Formula

Click cell I2 (Total Cost). Type this formula exactly: =(F2+G2)/7.2+H2. This converts your CNY prices to USD and adds international shipping. Copy this formula down the entire column by dragging the small square at the bottom-right of the cell.

Now every row automatically calculates the true cost of each item. No more guessing.

Step 5: Set Up Conditional Formatting

Select the entire Order Status column. Go to Format → Conditional formatting. Set "Wishlist" to gray, "Paid" to yellow, "Shipped" to blue, "Arrived" to green, and "Sold" to bold green. Now your sheet is visual — one glance tells you exactly where everything stands.
